Parents teaching young children to swim with Swim Fanatics.

POLICIES, RULES, & WAIVER FOR SWIM FANATICS INDOOR SWIM LESSONS

For Indoor Swim Lessons: Year-Round- Effective 6/1/26

(If you registered prior to 6/1/26 you will remain under the previous policies until 9/1/26 and the previous policy can be found below)

  • Swim Fanatics Indoor Swim Lessons is a Year-Round Program.
  • Swimmers will stay enrolled and monthly drafts will continue indefinitely until a written notice is submitted to pause/cancel lessons via chat to the  Communications Director in the Band App. (A 4 lesson notice is required: see below).
  • The Monthly Auto Draft for our Indoor Swim programming must be set up to hold your swimmer's space in your class of choice.
  • An Annual Due of $35 per swimmer is required at the start of programming and yearly thereafter via draft while enrolled at Swim Fanatics.
  • All drafts pay for 4 lessons.
  • At time of registration, you will be assigned a group number (Ex. G1 or G2) that indicates on the swim calendar the 1st of each group of 4 lessons covered after the date your draft processes each month. (Your group number will always be listed next to the swimmer’s name on the roster).
  • There must be 7 days minimum between the draft date and 1st lesson covered by that month’s draft. (The 1st lesson covered will be the 1st lesson on your day of choice that occurs 7 days minimum after the draft date.) This ensures that each group of 4 lessons are paid for prior to when the lessons will occur.
  • If you wish to attend the lessons that fall between the draft date and the 1st lesson covered by your draft,  you will be prorated and invoiced for those lessons.
  • If you switch your lesson day, you will be invoiced for 1 lesson if the switch causes the span between the draft date and 1st lesson covered to be less than 7 days.
  • A 4 lesson notice is required when pausing/cancelling lessons. Once your notice is submitted, you are required to pay and attend the 4 lessons following the notice. (If your draft has already been processed at the time of notice, you will attend the lessons covered by that draft as there are no refunds).
  • All pausing or cancelling of draft payments are to be done by Swim Fanatics only. Cancelling or your own draft will result in a $65 improper cancellation fee. If you paid in full for a session, you cannot freeze your account on your own and will be subject to the $65 fee.
  • Please note that having Swim Fanatics pause your lessons will result in your spot being offered to another swimmer but we will help you find a new lesson day and time when you return to lessons.
  • All swimmers that were locked into draft prices prior to 1/1/26, will be switched over to the current draft prices if drafts are paused/cancelled or if type of lesson is changed (semi-private, private, squid squad).
  • It is imperative that you keep the card on file for draft payments up to date. If your draft payment fails to process, you will be notified in your chats in the Band App. You will have 24 hours to update the card on file, notify the Communications Director in Band that it is updated, and the payment must successfully process, otherwise you will be charged a $35 late fee and invoiced for the amount owed. (Students that were locked into lesson prices prior to 1/1/2026 will have to pay the current price for 1 month in addition to the $35 fee if the failure to keep the card updated results in having to set up a new draft).
  • It is advised to set up a PayPal account when signing up for lessons as it allows you to easily update the card on file. Checking out as a guest will not allow you to update the card on file without using the link found on the original confirmation email you received at registration and without remembering the username and password you used at that time. This will result in you having to set up a new draft each time your draft fails to process.
  • Swim Fanatics does not give refunds for any reason.
  • If notice to pause lessons is given due to extended vacation etc. and you are unable to finish out the required 4 lessons before you need to stop attending lessons, you may schedule the make-up lessons when you return but they must be made up within 30 days of returning by using the make-up lesson page. They may NOT be used towards regular scheduled lessons. (This is only good for 1 year from the date that the notice is given.) It is important to get all lessons made up as soon as possible before the expiration date. Any lesson not completed by the expiration date is forfeited and Swim Fanatics will not add additional class times to ensure you get those done if you wait until close to the expiration date.
  • A make-up credit will be offered if the participant has a medical exemption letter stating they are not able to participate. This credit is not a refund and will be good for 1 full year towards additional programming.
  • The Annual Registration Fee of $35 will need to be paid if it has expired and the Waiver will need to be up to date at the time any make-up lessons are being scheduled or the credit toward additional programming is being used.
  • Semi-Private Lessons must have 2 students registered for each class. If your child remains the only student in their class after two lessons have taken place, you will need to upgrade to private lessons or switch to another day and time with another student. (At Swim Fanatics discretion, the requirement to upgrade to private lessons may be waived in situations where 1 student in a group lesson is unavoidable.)
  • Semi-Private Students registering for a day/time slot that does not have another swimmer will need to enroll as private lessons initially but ask the Communications Director to list the class as available on the website. Once another swimmer joins the class, the lesson will switch from private to semi-private prices.
  • Squid Squad must have 2 or more students per class.
  • Squid Squad classes with only one swimmer will be asked to switch to another day/time or convert to a 30 minute lesson.
  • All Squid Squad lessons will be reduced to a 30 minute lesson when only one swimmer is present for lessons.
  • Swim Fanatics reserves the right to change the lesson day, time, or instructor at any time in order to close gaps in our instructors schedules and ensure that there are 2 children in each semi-private lesson, but will reach out to those affected to find a solution that works best for the swimmer.
  • A waiver must be signed before you are allowed to start swimming lessons and will be due yearly for the duration of enrollment.
  • Summer Camps will have a different waiver that will need to be filled out before attending Summer Camps.

Missed Lessons and Make-Up Lessons:

  • You must give a written notice to the Communications Director via chat in the Band App that you will miss your lesson prior to the lesson start time in order to receive a make-up lesson.
  • No-shows or lessons cancelled after class start time will not receive a make-up lesson.
  • It is the parents/swimmers responsibility to keep track of absences and use the make-up page to schedule their make-up lessons.
  • All make-up lessons are made by viewing the available spots on the make-up lessons page and sending your request via chat to the Communications Director in the Band App. (You must receive a confirmation message back of your requested day and time in order to attend the make-up lesson).
  • All make-up lesson requests must be submitted by 12 pm the day the lesson will occur on Monday-Thursday and by 6 pm Saturday for lessons occurring on Sunday.
  • All make-up lessons (original and courtesy) for lessons cancelled by swimmers or Swim Fanatics MUST be rescheduled within 30 days of the original missed lesson date or it is forfeited. (Only swimmers with an official Special Needs Diagnosis that have been told that they are not able to do make-ups with other instructors are exempt from the 30 day rule as make-up lesson spots are limited for those swimmers. All other students will need to schedule a make-up lesson with any available instructor within the 30 days).
  • Each draft provides 1 starfish (⭐️) to use to make up for a lesson cancelled by the swimmer. (Unused starfish will roll over). The starfish will be posted next to the swimmer's name on the roster once available and removed once used.
  • Lessons Cancelled by Swim Fanatics and Planned Missed Lessons with 1 week or more notice will receive a make up lesson without using up a starfish but must still be made up within 30 days or it is forfeited.
  • Cancelling a scheduled make-up lesson forfeits the lesson unless a doctor’s note or copy of receipt from the physician whose care the swimmer is under is submitted and can only be rescheduled 1 time using the Courtesy Lessons option (explained below). Proof of last minute rescheduled sport games/school events due to inclement weather and proof of family funeral/family emergency will also be accepted. Scheduled school/sport events such as plays and games that have been planned for a week or more will not be accepted. Please double check your calendars before scheduling a make-up lesson.
  • Courtesy lessons are offered daily to anyone that has used their available starfish but missed another lesson that will become forfeited before their next starfish is available.
  • This option has the following stipulations:

  1. You may only request an available spot off the make-up page between 3 pm the day prior and before 12 pm-Noon the day the lessons take place for Mon-Thursday lessons and between 12pm and 6 pm on Saturday for Sunday lessons.
  2. Semi-private swimmers MUST choose a (1 space option) at their level and Private swimmers MUST choose an (Open) space that will close a gap in an instructors schedule and can’t be added on to the beginning or end of the instructors schedule.  (Semi-Private students MUST use 2 make-up lessons to turn an (Open) spot into a Private Make-up Lesson if they want to choose an Open spot for a courtesy make-up lesson and must choose a spot that closes a gap in the instructors schedule).
  3.  If you cancel a scheduled courtesy lesson it is automatically forfeited.

  • Swim Fanatics will decide if weather is threatening enough to cancel. (All lessons will take place unless lightning is within 10 miles of the pool or road conditions are hazardous).
  • The pool may close at a moment's notice if fecal matter has entered the water.
  • Lessons cancelled by Swim Fanatics that have more than 10 minutes left to the lesson at time of cancellation can request a make-up lesson.
  • We will do our best to notify you of any cancelled lessons by Swim Fanatics or pool closures by posting that information on the Band app under the label( Notices) and the label (Important Information).
  • Make-up lessons may only be scheduled in available spots by Swim Fanatics and may not be used as regular scheduled lessons.
  • Make-up lessons may be scheduled before or after you have missed the lesson as long as the lesson has been paid for (applies to draft payments).
  • A scheduled make-up lesson will be rescheduled if a new student registers for the day and time slot your make-up was scheduled. The new student is attending the class day and time they are registered for and not doing a make-up lesson. Assigned lessons take priority over make-up lessons.
  • Please utilize any instructor, day, and time offered by Swim Fanatics on the make-up page to ensure you receive a make-up. Make-up lesson spots are based on availability and are not guaranteed.
  • New swimmers must attend (1-2 lessons for ages 5 yrs and up) & (2-3 lessons for ages 4 yrs and under) with their regular instructor before they can schedule any make-up lessons with another instructor.)
  • Make up lessons cannot be scheduled to result in a 1-hour swim lesson unless your child is 2-4 years (Guppies Level ONLY) or 5 years and older. (Make-up lessons can however be scheduled on the same day as the regular lesson with a 30-minute break between lessons.)
  • Make up lessons resulting in 1 hour will be shortened by the instructor if the swimmer becomes fatigued or attention span wanes to the point that the lesson is no longer benefiting the swimmer, and any remaining time will be forfeited.

General Rules to Follow:

  • Children must be supervised at all times when they are not in the pool with their instructor (This includes walking with your child to and from the bathroom and to and from lessons from your vehicle). Children are not allowed to be near the pool edge (indoor or outdoor) at any time. Children are also not allowed to play in the fitness room or roam the hotel hallways. Swimmers are only allowed to be in the pool when it is their scheduled lesson time.
  • Please meet the instructors at the pool steps at the shallow end of the pool at the beginning and end of each lesson.
  • If you do not hear your name or your child’s name called at the beginning of the scheduled lesson, please approach one of the instructors in the pool so they can assist you.
  • If you arrive to your lesson late please approach one of the instructors in the pool to let them know you are there so they can get you or your child into the pool for their lesson.
  • Please remind young children to walk and not run on the deck of the pool to prevent slipping and falling.
  • Please help keep our pool area and bathrooms clean.
  • No gum, outside food or drink are permitted on the pool deck. Only plastic water bottles will be allowed.
  • Only one adult per swimmer is allowed on the pool deck during swim lessons.
  • Only 1 parent per child is allowed in the pool with their child for our Itsy Spiders and Waterstriders Lessons (these are our parent/child lessons). Parents of any other swim levels are not allowed in the pool water. (For new timid swimmers, we do allow 1 parent to quietly sit near the pool edge near their child to help ease the transition of being away from the parent.)
  • The Marriott hotel pool towels are for hotel guests only and not to be used by our Swim program. All Swim Fanatics swimmers need to bring their own towels.
  • DO NOT come to the pool if you have a fever of 100.4 F or higher, are having symptoms of a stomach virus, or have a contagious illness such as pink eye. Please skip that day’s lesson and notify us that you are not able to come via chat to the Communications Director on the Band App.
  • Swim Fanatics uses the Band App for all communication with those that are registered in any of our swim sessions. Once your registration has been received, you will receive a message with an invite to join the Swim Fanatics Band App. Please be sure to join this to ensure you receive clear and timely communication. The 336-287-6109 is for new inquiries and sales only. (Only registered members are able to view what is in the app).
  • It is important that you read the information on the labels (start here swim lessons) and (missed/make up lessons) in Swim Fanatics Band App.
  • To be fully Registered and swim on your first day of class you will need to have completed the following:

  1. Registered for class and paid (1 time fee or set up monthly auto draft).
  2. Paid Annual Registration Dues of $35 dollars (paid at time of registration and will auto draft yearly for duration of enrollment).
  3. Signed Waiver.
  4. Joined Band App

For Indoor Swim Lessons: Year-Round prior to 6/1/26 and will expire 8/31/26

  • An Annual Due of $35 per swimmer is required at the start of programming and yearly thereafter via draft while enrolled at Swim Fanatics.
  • Your Monthly Auto Draft for our Indoor Swim programming must be set up to hold your swimmer's space in your class of choice.
  • Each draft payment covers the upcoming month's group of 4 lessons as all lessons must be paid for the month prior. When registering, the current month's draft made upon set up will go towards the next month's group of 4 lessons and you will be prorated for the remaining current month's lessons. (You may opt to wait until the date of the 1st lesson covered by the initial draft and not be prorated.) You are required to pay the invoiced prorated amount by the end of the month in which you registered or a $35 late fee will be applied.
  • Monthly drafts will continue until you turn in a written notice to pause or cancel draft payments, and will automatically re-enroll you for the next swim year.
  • You are REQUIRED to give a written notice via private chat to the Communications Director in the Band App if you would like to pause or cancel your draft payments.
  • You are REQUIRED to pay the current month's draft once the notice is given and you will finish out the next month's group of 4 lessons.
  • Each draft covers 4 specific dates on the year-round swim calendar.
  • The group of 4 lessons covered by your draft may be scheduled in separate months on the swim calendar, as some months will have more or less than 4 lessons that fall within that month.
  • It is imperative that you keep the card on file for draft payments up to date. If your draft payment fails to process, there will be a $35 fee, and you will immediately be invoiced for the payment. You will have 1 month to update your card. (Students that were locked into lesson prices prior to 2026 will have to pay the current price for 1 month in addition to the $35 fee if the failure to keep the card updated results in having to set up a new draft).
  • Swim Fanatics does not give refunds for any reason.
  • A make-up credit will be offered if the participant has a medical exemption letter stating they are not able to participate. This credit is not a refund and will be good for 1 full year towards additional programming.
  • Squid Squad must have 3 students per class. (The monthly price will be increased if there are less than 3 students enrolled in the Squid Squad class, and you will have the option to pay the increased price or switch to a 30-minute lesson. (The increased price may be waived at Swim Fanatics discretion in situations where having less that 3 students is unavoidable).
  • Squid Squad classes with only one swimmer will be asked to switch to another day/time or convert to a 30 minute lesson. (All Squid Squad lessons will be reduced to a 30 minute lesson when only one swimmer is present for lessons).

  • Lessons may be cancelled by the swimmer up to the start time of the scheduled lesson.
  • You must notify the Communications Director via private chat in Band App of your cancellation prior to class start time in order to receive a make-up lesson.
  • No-shows or lessons cancelled after class start time will not receive a make-up lesson.
  • Every swimmer is allowed 1 make-up lesson per month/ group of 4 lessons covered by the draft payment for lessons cancelled by the swimmer, unless a doctor's note is provided (Must be a written/typed note or payment receipt from the physician you or your child's care is under), or cancellation notice was given 7 days or more in advance.
  • There is a max of 12 make-up lessons per swim year (Beginning of September- End of August). All scheduled make-up lessons for lessons cancelled by swimmers (with or without a doctor's note) are counted towards the max allowed per swim year.
  • The max number of make-up lessons are based on how many months are left in the swim year at time of registration. (Example: Registered in May: the max will be 3)
  • It is the parents/swimmers responsibility to schedule their make up lessons.
  • All cancelled lessons whether by the swimmer or by Swim Fanatics are to be rescheduled using the make-up page and sending your requested day/time of make up lesson to the Communications Director in the Band App.
  • You MUST receive a confirmation of the date and time of your scheduled make up lesson in order to attend.
  • All make-up lessons (lessons cancelled by swimmer or Swim Fanatics and advance notices of missed lessons) MUST be re-scheduled within 30 days of date of the missed lesson, or it will be forfeited.
  • Make certain you are able to attend the make-up day and time of your choice before requesting a make-up lesson.
  • Cancellation of a scheduled make-up lesson by the swimmer forfeits that lesson unless a doctor note is provided and will still count as 1 used make-up lesson with or without a doctor note. (Only doctor notes or receipts from the physician whose care you or your child are under will be accepted. Verbal statements from family and friends in the medical field will not be accepted as everyone is required to follow the same rules and policies). Please understand that we pay our instructors for all scheduled lessons even if the swimmer cancels their lesson. When a cancelled make-up lesson is rescheduled, we will have paid the instructor for 3 lessons that were only paid for and attended once. This makes it difficult to maintain affordable swim lessons and small student to teacher ratios for our families.
  • Advance notices (7 days minimum) for vacation, life events, etc. and lessons cancelled by Swim Fanatics will not count towards the 1 allowed make up per month but will still need to be rescheduled within 30 days of the date that will be missed or lesson will be forfeited.
  • Swim Fanatics will decide if weather is threatening enough to cancel.
  • The pool may close at a moment's notice if fecal matter has entered the water.
  • Lessons cancelled by Swim Fanatics that have more than 10 minutes left to the lesson at time of cancellation can request a make-up lesson.
  • We will do our best to notify you of any cancelled lessons by Swim Fanatics or pool closures by posting that information on the Band app under Notices and the label (Important Information).
  • Make-up lessons may only be scheduled in available spots by Swim Fanatics and may not be used as regular scheduled lessons.
  • Make-up lessons may be scheduled before or after you have missed the lesson as long as the lesson has been paid for (applies to draft payments).
  • You may request to move your make-up lesson to a different time on the same day if there is space. If there is no space, you will need to attend the original scheduled make-up or forfeit the lesson. Moving your make-up to a different day will be considered a cancellation and can only be rescheduled with a doctor note.  Please take into consideration that last minute changes cause gaps in our instructors' schedules and require instructors to be paid for the original scheduled make-up and also for the new time that you would be requesting.
  • A scheduled make-up lesson will be rescheduled if a new student registers for the day and time slot your make up was scheduled. The new student is attending the class day and time they are registered for and not doing a make-up lesson. Assigned lessons take priority over make-up lessons.
  • If notice to pause lessons is given due to extended vacation etc. , make-up lessons must be rescheduled within 30 days of returning to swim lessons.
  • Please utilize any instructor, day, and time offered by Swim Fanatics to ensure you receive a make-up.

  • Only one adult per swimmer is allowed on the pool deck during swim lessons.
